Position Overview:
The Administrative Assistant will be responsible for providing administrative support to ensure the efficient operation of the office. This role involves managing communications, scheduling, office logistics, and assisting the architectural and engineering teams with various administrative tasks.
Key Responsibilities:
· Handle incoming calls, emails, and correspondence.
· Facilitate internal and external communication, ensuring messages are conveyed promptly.
· Schedule and coordinate meetings, appointments.
· Prepare meeting agendas, take minutes, and distribute them as required.
· Coordinate with project teams to ensure timely submission of reports and documents.
· Maintain and update company databases and filing systems.
· Assist in the preparation of reports, presentations, and other documents.
· Ensure all records are accurately maintained and easily accessible.
· Provide administrative support during project planning and execution phases.
· Financial Administration:
· Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
· Coordinate with the finance department to ensure timely payment of bills and invoices.
Qualifications:
Education: Bachelor’s Degree
Experience: Minimum of 5 years of experience in an administrative role, in an architectural or engineering firm.
Preferred: Female - Can join immediately.
Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and multitasking abilities.
Strong verbal and written communication skills.
Attention to detail and problem-solving skills.
Ability to work independently and as part of a team.
Knowledge of architectural and engineering terminology is a plus.
