Education/Experience:

  • Minimum of Associates Degree in Business Management preferred.
  • Successful completion of medical/legal clerical curriculum or a minimum of one to two years formal secretarial skills, training and/or equivalent clerical job experience is required.

Abilities:

  • Position requires ability to utilize spreadsheets with skill in data collection and display of data in reports.
  • Must have excellent inter-personal and communication skills to deal courteously and tactfully with a wide variety of internal and external customers.
  • Must be able to work quickly and accurately under pressure.
  • Must be able to handle confidential assignments and maintain a good working relationship with staff.
  • Requires a comprehensive understanding of facility and Behavioral Medicine Center policies and procedures, normally acquired within six months experience in this position.
  • Provides administrative support to Executive for the Behavioral Medicine Center and others as needed.
  • Prepares monthly statistical reports as required by Department of Mental Health, hospital administration and Behavioral Medicine Executive.
  • Processes payroll data for Behavioral Medicine Center staff.
  • Assists with or conducts special projects and research as directed by the Program Executive.
  • Communicates with facility departments on behalf of Program Executive as delegated/directed.
  • Schedules and prepares materials for meetings. Attends committee and staff meetings as assigned and records meeting minutes as requested.
  • Processes all legal documents and coordinates attorney conferences with patients and legal hearings as required by Michigan Department of Mental Health Code and Rules.
  • Assists in preparation of documents, forms, charts, record access, etc. for surveys, audits, etc.
  • Assists leadership is arranging rooms, materials, etc. for staff meetings, in-services, training, etc. as appropriate. Ensures participant schedules are updated.
  • Participates in the orientation of Behavioral Medicine Center clerical staff as needed to ensure smooth operation of office procedures related to ordering supplies, phone etiquette, assistance to staff, customer service and chart preparation and maintenance.
  • Support for Recipient Rights Advisor (RRA) during their absence with daily follow up with patients as needed. Requires attending RRA trainings to complete role.
  • Regular and punctual attendance is required.
  • Performs other duties as assigned.
