ABOUT the POSITION

The Administrative Assistant has primary responsibility for general office support with specific bookkeeping and financial tasks. The role combines traditional clerical support with foundational bookkeeping and financial data management. This individual will promote administrative efficiency while supporting core operations. The ideal candidate must be knowledgeable, accountable, organized, work independently, be resourceful, and be an enthusiastic team member with an optimistic mindset.

This is an excellent opportunity for an exceptionally skilled individual to join a dynamic legal team and contribute to the success of a fast-paced practice.

This is full-time, hourly in-office role based in our Tacoma office, not remote. Training will be conducted in our Kent office before transitioning to final Tacoma assignment.

KEY RESPONSIBILITIES

Accounting and Financial Administration

  • Accounts Receivable (AR): Processing client transactions, tracking payment statuses, and assist with collections on overdue accounts.
  • Assist intake staff and attorneys with processing payments.
  • Data Entry & Record Keeping: Assist Accounting Manager with performing daily data entry in updating financial spreadsheets.
  • Financial Reconciliation: Reconciling bank statements, credit card accounts, and petty cash to identify and resolve discrepancies.
  • Summaries: Assist Accounting Manager with generating weekly or monthly financial summaries as directed. Provide daily or weekly reporting of intake and marketing activity.
  • Work closely with the Accounting Manager and COO as directed.

Office Administration

  • Office Readiness: Ensure a clean, organized, and functional work environment in all common areas. Facilitate mail/package delivery and distribution. Assist in weekly inventory of office supplies, ordering and stocking of office supplies and resources.
  • Technology Support: Assist with printer/fax operations, basic troubleshooting, and service coordination. Assist in workstation and conference room setup. Maintain device inventories and assignments.
  • Facilities: Help to facilitate building services, maintenance and repairs. Help in identifying opportunities for savings and efficiencies.
  • Culture: Assist with event planning, team-building initiatives and community outreach.
  • Scheduling: Assist with booking and scheduling travel, hotel, transportation, and CLE courses.
  • Work closely with the Office Manager as requested.

Legal Administration

  • Client Management: Assist in scheduling and support for client-facing interactions and operations.
  • Assist in coordinating registration and access to court portals on behalf of attorneys and staff.
  • Intake Support: Assist in assurance that new client documentation and engagement agreements are complete and routed accurately.
  • Maintain strict confidentiality in all matters. Adhere to firm protocols, legal ethics, and relevant state and federal regulations.
  • Assist the Legal Manager and legal support staff with case management operations.

Growth and Development

  • Participate in training, performance reviews, and continuing education.
  • Support the firm’s broader mission by contributing to administrative or case support tasks as assigned.

  • Other duties as required.

EDUCATION & EXPERIENCE

  • Bachelor's degree preferred.
  • 3 years minimum of experience in accounting and administrative roles
  • Proficiency with QuickBooks and Microsoft office suite with an emphasis in Excel.

REQUIRED SKILLS

  • Excellent written and verbal communication.
  • Strong organizational and time management skills. Ability to work independently and collaboratively as a team.

Pay: $28.00 - $35.00 per hour
