Administrative Assistant


  • Answer and route all incoming calls for Property Management and Leasing
  • Maintain calendars, task lists, and schedule meetings and conference calls for management
  • Respond to tenant and vendor inquiries before escalating to managers
  • Follow up on occupant/tenant/vendor emails to ensure timely response times
  • Maintain and organize all property-related files such as budgets & vendor files
  • Create physical and digital file folders with proper labeling.
  • Collect and submit payroll forms for manager approval.
  • Prepare notices and building memos for all properties.
  • Submit DOB recertifications. PA permits, MDR renewals
  • Create spreadsheets and reports on an as-needed basis.
  • Assist with tenant communication and follow-up regarding building inquiries and issues.
  • Support apartment turnover coordination by assisting with scheduling, documentation, and communication between Vendors, Property Management and Leasing.
