Job Overview

Responsibilities

  • Manage front desk operations by greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy.
  • Handle data entry tasks accurately using Microsoft Office, Google Workspace, and specialized software like QuickBooks for bookkeeping and financial record-keeping.
  • Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents and records.
  • Provide excellent customer service by assisting clients, answering inquiries, and supporting overall office needs with a friendly demeanor.
  • Support calendar management and scheduling for meetings, appointments, and personal assistants as needed.
  • Perform clerical duties such as proofreading documents, managing correspondence, and ensuring all communications are clear and error-free.
  • Assist with office management tasks including supply inventory, equipment maintenance, and general administrative support to ensure smooth daily operations.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation and collaboration.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Excellent phone etiquette with experience handling multi-line phone systems in a professional manner.
  • Bilingual abilities are highly valued to assist diverse client needs and enhance communication.
  • Demonstrated experience in office management, clerical work, or administrative support roles.
  • Knowledge of QuickBooks or similar bookkeeping software is a plus for handling financial transactions.
  • Exceptional attention to detail for proofreading documents and maintaining accurate records.
  • Proven ability to handle customer service interactions with professionalism and patience.
  • Familiarity with medical or dental receptionist duties is advantageous but not required.

Pay: $19.00 - $22.00 per hour
