Position Overview

We are looking for a highly organized and experienced Administrative Assistant to support the day-to-day operations of the business and work directly with the owner. This role is critical to keeping the back office running smoothly. You will handle financial tasks, manage job paperwork, and help ensure projects stay organized from start to finish. This position is open due to the retirement of a long-time team member who was with American Home for over 20 years. We take pride in building a stable team, and our retention reflects that. Key Responsibilities

  • Process and manage company expenses, including paying bills and contractors
  • Handle job-related paperwork, compliance documents, and internal records
  • Maintain organized filing systems across digital and physical platforms
  • Assist with back-office operations to keep projects moving efficiently
  • Coordinate and follow up on tasks to ensure deadlines are met
  • Communicate with vendors, subcontractors, and internal team members
  • Support the owner with administrative needs and daily operations

Required Qualifications

  • Proven experience in administrative assisting and/or office management
  • Strong working knowledge of QuickBooks is required
  • Strong organizational skills with attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Clear and professional communication skills
  • Comfortable using computers, email, and spreadsheets daily
  • Ability to handle confidential information with discretion

Preferred Experience

  • Experience working in the home improvement, construction, or contractor industry
  • Familiarity with job paperwork, permits, or compliance documentation
  • Experience handling contractor payments or vendor coordination
  • Experience using a CRM system, including LeapCRM, is preferred but not required
