Administrative Assistant

Job Summary

Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
  • Utilize Microsoft Office and Google Workspace tools for scheduling, correspondence, and document creation.
  • Oversee calendar management for team members, scheduling appointments and meetings with precision.
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
  • Provide excellent customer support via phone, email, or in person, ensuring all client interactions are positive and professional.
  • Assist with office management duties such as supply inventory, mail distribution, and general clerical support.
  • Handle confidential information with discretion while maintaining high levels of accuracy in all tasks.
  • Coordinate with other departments to ensure seamless office operations and timely completion of projects.

Qualifications

  • Proven office experience or clerical background with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent computer literacy including data entry, proofreading, and document formatting skills.
  • Experience managing multi-line phone systems and front desk operations.
  • Bilingual abilities are a plus for effective communication with diverse clients and staff.
  • Knowledge of QuickBooks or bookkeeping experience is highly desirable.
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
  • Exceptional customer service skills combined with professional phone etiquette.
  • Ability to adapt quickly to new software tools and office procedures while maintaining attention to detail.
