- Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
- Maintain accurate records through data entry, filing, and document proofreading to ensure organizational clarity
- Oversee calendar management for executives and team members, scheduling appointments and meetings with precision
- Handle office management tasks such as supply inventory, equipment maintenance, and general administrative support
- Utilize software tools including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and QuickBooks for various administrative functions
- Support bookkeeping activities like invoicing, expense tracking, and basic financial recordkeeping
- Assist with clerical duties such as typing correspondence, proofreading documents, and managing incoming/outgoing mail
- Provide bilingual support when needed to serve diverse clients or team members effectively
- Maintain a professional appearance of the front desk area and uphold excellent phone etiquette at all times
<Skills>
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace applications, and QuickBooks
- Excellent communication skills—both verbal and written—with strong phone etiquette and customer service orientation
- Ability to multitask efficiently while maintaining attention to detail in fast-paced environments
- Experience with multi-line phone systems and front desk operations preferred
- Bilingual abilities are highly desirable to support diverse client needs
- Strong data entry skills with accuracy in typing and proofreading documents
- Knowledge of office procedures such as filing systems, calendar management, and recordkeeping practices
- Personal assistant experience or medical/dental receptionist background is a plus
