Administrative Assistant

<Duties>

  • Greet visitors and clients at the front desk with professionalism and warmth, providing exceptional customer service
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
  • Maintain accurate records through data entry, filing, and document proofreading to ensure organizational clarity
  • Oversee calendar management for executives and team members, scheduling appointments and meetings with precision
  • Handle office management tasks such as supply inventory, equipment maintenance, and general administrative support
  • Utilize software tools including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and QuickBooks for various administrative functions
  • Support bookkeeping activities like invoicing, expense tracking, and basic financial recordkeeping
  • Assist with clerical duties such as typing correspondence, proofreading documents, and managing incoming/outgoing mail
  • Provide bilingual support when needed to serve diverse clients or team members effectively
  • Maintain a professional appearance of the front desk area and uphold excellent phone etiquette at all times

<Skills>

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace applications, and QuickBooks
  • Excellent communication skills—both verbal and written—with strong phone etiquette and customer service orientation
  • Ability to multitask efficiently while maintaining attention to detail in fast-paced environments
  • Experience with multi-line phone systems and front desk operations preferred
  • Bilingual abilities are highly desirable to support diverse client needs
  • Strong data entry skills with accuracy in typing and proofreading documents
  • Knowledge of office procedures such as filing systems, calendar management, and recordkeeping practices
  • Personal assistant experience or medical/dental receptionist background is a plus
  • Time management skills that enable prioritization of tasks effectively for optimal productivity
