First National Bank of America is seeking a polished, proactive Administrative Assistant to support our Executive Administrative Team and Leadership Team. This role sits at the center of our executive office — demanding sound judgment, meticulous attention to detail, and an unwavering commitment to confidentiality. Responsibilities:
Meeting Support — Record, prepare, and distribute accurate meeting minutes across multiple departments.
Project & Administrative Support — Build and maintain expense trackers, update monthly binders, and support ongoing organizational initiatives with precision.
Executive Presentations — Develop polished PowerPoint presentations for leadership meetings and executive
Correspondence & Distribution — Manage outgoing mailer distribution in a timely, organized manner.
Event & Travel Coordination — Partner with Executive Administration to plan conferences, off-site meetings, and all related travel
Cross-Platform Communication — Communicate effectively via Microsoft Teams, RingCentral, and email, adapting tone and format to
Qualifications:
Required 3+ years of administrative support experience, ideally in a professional services or financial services environment
Exceptional organizational skills and the ability to manage competing priorities without losing composure
High degree of initiative and ownership — you anticipate needs rather than waiting to be asked
Strong written and verbal communication skills; discretion with sensitive information is non-negotiable
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Teams, and OneDrive
Ability to adapt quickly in a fast-paced, evolving environment
