Duties
- Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth
- Manage multi-line phone systems, directing calls efficiently and courteously while providing excellent customer support
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records
- Perform data entry and bookkeeping tasks using QuickBooks and other accounting software to support financial accuracy
- Coordinate calendar management and schedule appointments or meetings with precision using Microsoft Office and Google Workspace tools
- Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative functions
- Proofread correspondence, reports, and documents to ensure clarity, accuracy, and professionalism
- Support clerical tasks including typing, photocopying, faxing, and managing incoming/outgoing mail
- Provide bilingual support when needed to serve diverse client needs effectively
- Uphold excellent phone etiquette while handling inquiries via phone or email in a timely manner
Qualifications
- Proven experience in an office environment with strong clerical skills and administrative responsibilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting
- Strong communication skills including phone etiquette and customer service expertise
- Bilingual abilities are a plus to assist diverse clientele effectively
- Previous experience as a receptionist or personal assistant is preferred; familiarity with medical or dental receptionist duties is advantageous
- Demonstrated ability to handle data entry accurately while maintaining confidentiality
- Knowledge of multi-line phone systems and office management best practices
