Administrative Assistant

Are you a proactive, people-centered multitasker who thrives in a fast-paced environment? Our busy and growing outpatient mental health clinic is looking for a friendly, organized, and dependable Administrative Assistant to join our vibrant team.

We serve up to 50 patients per day at each of our two dynamic locations, and we’re committed to enhancing our efficiency while continuing to provide exceptional care. Our patients — ranging in age from 3 to 60 — count on us for flexibility, support, and clear communication. That’s where your energy and attention to detail make all the difference.

This position involves frequent interaction with patients both in person and over the phone, so professionalism, warmth, and strong communication skills are essential. We’re seeking someone who’s eager to learn, adaptable to change, and ready to grow with us. The role begins part-time, with a clear pathway to full-time employment based on performance and initiative.

Key Responsibilities

Patient Communication & Scheduling

  • Answer phone calls and schedule appointments for consultations and follow-ups.
  • Greet patients warmly and assist them with appointment needs.
  • Screen patients for insurance eligibility.
  • Modify appointments as needed and relay changes to providers.
  • Coordinate schedules with social workers, counselors, and healthcare professionals.
  • Work-in emergency appointments and resolve scheduling conflicts promptly.

Administrative Tasks

  • Input patient demographic data and upload documentation to the cloud.
  • Maintain accurate appointment calendars.
  • Schedule and coordinate staff meetings.
  • Prepare communications (emails, memos, reports, invoices, etc.).
  • Write and edit letters, reports, and other documentation.
  • Create and maintain electronic and physical filing systems.
  • Manage office supplies, errands, and daily administrative operations.

Customer Service & Office Support

  • Greet visitors and maintain a welcoming, professional front desk presence.
  • Maintain confidentiality of patient information at all times.
  • Route calls, respond to inquiries, and ensure smooth front-office workflow.

Financial Support

  • Process patient payments.
  • Assist with billing reviews and minor bookkeeping tasks.
