JOB TITLE: Administrative Assistant
FLSA STATUS: Non-Exempt
WORK SCHEDULE: Full Time/Part Time
Summary: Administrative Support assists location management and personnel with a variety of clerical activities and related tasks. Clerical duties may be assigned in accordance with the office procedures of individual establishments and may include a combination of account payables, account receivables, answering telephones, bookkeeping, computer skills, office machine operation and filing.
Essential Duties and Responsibilities: include the following. Other duties may be assigned to meet business needs.
· Answering incoming telephone calls determines the purpose of callers, and forwards calls to appropriate personnel.
· Welcome on-site visitors determine the nature of business.
· Provides callers with information such as company address, location, fax numbers, company website, and other related information.
· Maintain files at store location for accounts receivables, payables, and open account documentation.
· Prepares and monitors documents in NAV system, open sales orders, purchase orders and transfers for store location.
· Receives, sorts and forward’s incoming mail and outgoing mail.
· Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
· Processes customers credit cards for payment.
· Monitors and processes “Open Invoice” for location.
· Assists in the ordering, receiving, stocking and distribution of office supplies.
· May also assist with other related clerical duties such as, copying, and filing.
· Communicates and works accordingly with the accounting department.
· Assist in keeping the office area clean and organized.
· Contributes to team effort by accomplishing related results as needed.
Qualification/Requirement:
· Able to work with minimum supervision, demonstrate the ability to solve practical problems or resolve issues.
· Requires knowledge of modern office practices and equipment including knowledge of word programs, excel, 10 key, email functions and computer programs.
· Requires knowledge of business English, spelling, grammar, and correct composition
· Requires ability to communicate with customers, vendors, and employees in a tactful, pleasant, and courteous manner.
· Ability to multi-task and establish priorities.
· Ability to work effectively within a team or independently.
· Punctual
· Ability to operate telephone, copier, computer and other office equipment.
· Ability to work collectively with the accounting department at the corporate office.
· Professional appearance.
· Computer literacy required.
· Valid Driver’s license is required.
· Clearance of background check, MVR, and drug screen
Education/Training/Experience:
· High School Diploma or GED preferred.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear and are required to sit, stand, and walk. The employee is occasionally required to stoop, kneel, crouch and balance. The employee must occasionally lift and/or move 10-50 pounds.
