Position Overview
We are currently seeking a highly organized, resourceful, and adaptable Administrative Assistant to provide dedicated support to the General Counsel, Chief Compliance Officer, and the broader Legal & Compliance team. This role is based in our office in New York located in mid-town Manhattan.
Responsibilities

Manage complex calendars, scheduling internal meetings, board/committee meetings, external counsel calls, and ad-hoc calls with various counterparties.

Coordinate domestic and international travel (including real-time troubleshooting in the event of travel disruptions) and handle expense reporting and reimbursement process.

Prepare meeting agendas, materials, and follow-ups; track action items/deadlines to completion.

Serve as a primary point of contact for internal stakeholders and external parties interacting with Legal & Compliance.

Assist with outside counsel invoice processing, and help coordinate with the Legal & Compliance and Finance teams on legal spend reporting and new vendor setup procedures.

Coordinate with outside counsel on engagement letters.

Assist in maintaining and organizing legal and compliance records, both physical and electronic.

Event planning/organization for Legal & Compliance team off-site meetings, dinners, and the like.

Exercise sound judgement in escalating issues, managing, priorities, and protecting firm interests.

Identify opportunities to streamline administrative and legal/compliance workflows.

Assist with implementation and maintenance of compliance and legal AI platforms.

Monitor attorneys’ CLE requirements and license renewal deadlines.
Qualifications

5+ years of experience in an administrative, team support, or coordinator role – ideally supporting a legal team and executives – preferably within investment management, financial services, or a law firm

Ability to balance multiple concurrent projects and prioritize work in a fast-paced environment

Proficient in Adobe Acrobat and Microsoft Office Suite (including Outlook, Excel, Word, and PowerPoint) and document management systems

Familiarity with electronic signature platforms such as DocuSign and AdobeSign is preferred

Dependable, adaptable, responsive, and possesses a can-do attitude

Strong problem-solving skills and demonstrated initiative and ability to manage tasks and projects independently from start to finish

This position requires flexibility in hours to accommodate business needs, including the possibility of early morning or evening work and monitoring emails on weekends in case of urgent situations
The annual base salary range for this position is $70,000 to $130,000 USD. The actual base salary will depend upon the candidate’s relevant experience, qualifications, skills, business needs and market. This role may be eligible for a discretionary bonus and if awarded is based on a variety of factors including firm and individual performance.
