Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Answer multi-line phone systems promptly, providing excellent customer service and support
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
  • Coordinate calendar management, scheduling appointments, meetings, and reminders efficiently using Google Workspace or Microsoft Office tools
  • Handle office management duties such as supply inventory, equipment maintenance, and organization of files and documents
  • Support bookkeeping tasks using QuickBooks or similar accounting software for basic financial recordkeeping
  • Provide clerical support including typing correspondence, preparing reports, and assisting with customer support inquiries
  • Photos and Video of before and after treatments.

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Experience with multi-line phone systems, phone etiquette, and customer service excellence
  • Bilingual abilities are highly desirable to assist a diverse client base effectively
  • Familiarity with office management tasks such as filing, data entry, proofreading, and calendar management
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as a receptionist—dental or medical—personal assistant or in clerical roles is advantageous
  • Knowledge of bookkeeping practices using QuickBooks or similar software is a plus
  • Experience with social media and marketing is a plus and will increase salary.
