Requirements
- Previous administrative or office experience (healthcare or ABA preferred)
- Strong organizational, multitasking, and time management skills
- Excellent communication and phone etiquette
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
- High attention to detail, especially with data entry and documentation accuracy
- Ability to work independently and problem-solve in a fast-paced environment
- Professional demeanor and ability to maintain confidentiality
Key Responsibilities
- Manage front desk operations, including greeting visitors and handling incoming calls with professionalism
- Coordinate and maintain staff and client schedules, including updates, cancellations, and coverage needs
- Communicate effectively with parents, staff, and supervisors regarding appointments and service changes
- Track and verify insurance authorizations, units, and required documentation
- Maintain accurate client records, including data entry, filing, and document management (electronic and paper)
- Assist with onboarding processes for new clients and staff (collecting documents, follow-ups, and system updates)
- Support billing processes by ensuring all required documentation is accurate and submitted on time
- Utilize Google Workspace and Microsoft Office to prepare reports, track data, and manage internal systems
- Maintain organized filing systems and ensure compliance with company and healthcare standards
- Assist with general office management tasks, including supply ordering and maintaining a professional workspace
- Collaborate with team members and leadership to ensure efficient workflow and service delivery
