Administrative Assistant


Must have Commercial Real Estate experience
  • Answer all incoming phone calls for property managers
  • Maintain calendars, task lists
  • Send out all conference call and meeting requests for managers
  • Answer questions from occupants/tenants/vendors before directing to managers.
  • Follow up on occupant/tenant/vendor emails
  • Track/match POs to invoices
  • Maintain files for properties, i.e. budget, contracts, vendors, leases.
  • Create all file folders with labels.
  • Collect and submit payroll forms to manager for approval.
  • Type and distribute all meeting minutes, building issues, memos and misc. correspondence
  • Prepare all holiday and building memos for all properties
  • Follow up on property violations, draft cure letters and submit to DOB
  • Submit all DOB Ownership signatures
  • Prepare monthly building issues for all buildings
  • Assist with the DOB NOW permit process, checks, following up with all parties
