Administrative Assistant

<Job Summary>
We are seeking a dynamic and highly organized Administrative Assistant to join our team! <Duties>

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems to handle incoming calls efficiently, providing excellent customer service and support.
  • Maintain accurate records through data entry, filing, and document proofreading to ensure information integrity.
  • Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and document creation.
  • Oversee calendar management and appointment scheduling for staff members, ensuring optimal time management.
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking.
  • Provide clerical support including photocopying, faxing, mailing, and organizing office supplies to keep the workspace organized and functional.
  • Assist with office management duties such as inventory control, maintaining office equipment, and coordinating maintenance requests.
  • Deliver exceptional customer support by addressing inquiries promptly via phone or email while maintaining professionalism.
  • Support personal assistant tasks as needed, including travel arrangements or special project coordination.

<Qualifications>

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy.
  • Experience using QuickBooks or similar bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Strong typing skills and attention to detail for proofreading documents accurately.
  • Exceptional phone etiquette skills with experience managing multi-line phone systems.
  • Bilingual abilities are a plus to better serve diverse client needs.
  • Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous.
  • Knowledge of data entry procedures, filing systems, and customer service best practices.
  • Ability to handle confidential information discreetly while demonstrating professionalism at all times.
