Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office.
- Perform data entry, proofread documents, and ensure accuracy in all clerical tasks.
- Support office management activities including calendar management, scheduling appointments, and coordinating meetings.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping.
- Provide exceptional customer service by supporting client inquiries, managing customer support requests, and ensuring positive interactions.
- Handle general office responsibilities such as filing, photocopying, faxing, and maintaining office supplies inventory.
- Support personal assistant duties when needed, including managing schedules and organizing travel arrangements.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks or other bookkeeping software is preferred.
- Excellent phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are a plus to serve diverse client needs effectively.
- Strong typing skills with high accuracy; attention to detail in proofreading documents.
- Demonstrated ability to manage time effectively and prioritize tasks efficiently in a fast-paced environment.
- Previous experience as a receptionist or in medical/dental office settings is advantageous.
- Knowledge of office management procedures along with excellent interpersonal skills for customer support roles.
