About This Role

As an Administrative Assistant at Tiny Triumphs, you'll play a crucial role in the daily operations of our clinic, ensuring smooth and efficient administrative support for our therapists and the families we serve. You'll be the first point of contact for patients, helping to create a welcoming and organized environment at our Biddeford clinic.

Duties

  • Greet and assist patients and visitors in a friendly and professional manner
  • Answer phone calls, respond to emails, and schedule therapy appointments
  • Maintain patient records and files, ensuring confidentiality and HIPAA compliance
  • Process patient billing and insurance information accurately
  • Assist in the preparation and management of therapy materials and documentation
  • Support therapists with administrative tasks, including scheduling and follow-ups
  • Handle office supplies inventory and order as necessary
  • Manage patient intake forms, ensuring all necessary documents are completed
  • Coordinate with insurance providers for pre-authorizations and verifications
  • Assist in maintaining a clean and organized office environment

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent typing speed combined with keen proofreading abilities for professional correspondence
  • Experience with office management systems such as QuickBooks and multi-line phone systems
  • Bilingual fluency to communicate effectively with diverse clients and staff members
  • Demonstrated customer service expertise with a friendly and professional demeanor
  • Knowledge of office procedures including filing, data entry, calendar management, and time management techniques
  • Familiarity with clerical tasks such as document proofreading, record keeping, and office supply management
  • Personal assistant experience or medical/dental receptionist background is a plus but not required
