Administrative Assistant

Western Fence Company is growing! We are currently hiring two motivated and reliable team members to support our CEO and expanding Sales Team. These roles have different primary focuses but will cross over and support each other as needed.

Position 1: Administrative Assistant / Social Media & AI Coordinator (Focus: Executive Support + Social Media)

You will be the right-hand person to the CEO while owning our online presence.

Key Responsibilities:

  • Manage CEO’s complex calendar, travel, meeting notes, expense reports, and logistics
  • Run all social media channels (Instagram, Facebook, LinkedIn, TikTok, X) — posting fence projects, before/after shots, safety tips, and crew highlights
  • Shoot and edit quick videos using CapCut and create eye-catching graphics with Canva
  • Use AI tools daily (ChatGPT, Grok, Gemini, Predis AI, Sintra, etc.) to write captions, generate ideas, mock up designs, and boost productivity
  • Stay current with new AI tools and learning resources

Position 2: Project Assistant – Sales Team Support (Focus: Construction Bids & Project Coordination)

You will support our estimators and sales team with bidding and project setup.

Key Responsibilities:

  • Search state, city, federal & local websites for upcoming fence projects and bid opportunities
  • Read and interpret construction plans, addenda, and contract documents
  • Assist estimators with proposals, estimates, shop drawings, and submittals
  • Prepare shop submittals using CAD
  • Track bid results, coordinate due dates, RFIs, change orders, and close-out documentation
  • Handle filing, clerical duties, and maintain strong customer relations

Shared Requirements (Both Positions):

  • 2+ years of administrative or relevant experience (construction background is a big plus)
  • Strong organizational skills and ability to multi-task in a fast-paced environment
  • Excellent written and verbal communication skills
  • Proficient with Microsoft Word, Excel, and Outlook
  • Reliable transportation and a hardworking, positive attitude
  • Must take pride in your work and maintain good public relations

Nice-to-Haves (helps you stand out):

  • Social media / content creation experience (Position 1)
  • Experience with Canva, CapCut, AI tools, or CAD (Position 1 or 2)
  • Background in construction, trades, or reading construction plans (Position 2)
