Job Overview: The Administrative Assistant supports daily business operations by providing reliable administrative and operational support, enabling teams to stay organized, productive, and focused on core responsibilities. This role supports front office operations and assists with file and data organization for the HR and Purchasing departments. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities in a fast-paced environment while maintaining professionalism and accuracy. This individual must adhere to cGMP (Current Good Manufacturing Practices), Standard Operating Procedures, and Food Safety Regulations.
Duties/Responsibilities
· Perform receptionist duties, including greeting visitors, managing sign-in, and notifying employees of arrivals
· Receive and manage front office deliveries
· Maintain office supply inventory, including stocking/organizing supply and breakroom areas
· Create and maintain electronic forms and data spreadsheets
· Scan and electronically file sensitive documents
· Assist with vendor qualifications
· Assist with data input and submission of weekly payment cycles
· Match payments with corresponding invoices
· Assist with purchase order preparation
· Assist with asset management forms and tracking
· Run office errands within approximately a 20-mile radius
· Support event coordination and office setup
· Communicate basic technology needs with the IT vendor
Qualifications
· Strong organizational skills with the ability to prioritize in a fast-paced environment
· Valid driver’s license required
· Advanced proficiency in Microsoft Excel
· Excellent verbal and written communication skills
· Exceptional attention to detail
· Strong interpersonal skills
Education/Experience
Physical Requirements
Must be able to lift up to 25 pounds at times.
