Administrative Assistant

The Administrative Assistant will perform a variety of administrative and clerical tasks. To work directly with the company CEO and CFO. The duties of the Administrative Assistant include providing support to our account support specialist and employees and assisting with daily office needs. Administrative Assistant responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools such as Quickbooks, MS Office, Landscape Software ( LMN ) and office equipment. Beyond core administrative duties, you will act as a direct support to the company CEO, managing reminders and daily office logistics to ensure that organizational discipline is maintained at all time. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.

Must be, fluent in English and Portuguese, or Spanish.

Responsibilities to include but not limited to:

  • Answer and direct phone calls, write and distribute emails, correspondence memos, letters, faxes, and forms.
  • Organize and schedule appointments.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
  • Provide general support to field, and operations.
  • Act as the point of contact for internal and external clients.
  • Assist with estimates and quotes.

Skills

  • Proven experience as an administrative assistant or office admin assistant.
  • Must be highly tech-savvy.
  • Experience with QuickBooks and LMN is a major plus, but the ability to master it in 3-4 weeks is mandatory;
  • Proficiency in MS Office, and Outlook.
  • Knowledge of office management systems and procedures and office equipment, like printers and fax machines.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • Previous experience in Landscape or construction is a plus.

Success in this role will be measured by maintaining zero administrative downtime caused by forgotten tasks; managing relationships with high-end customers in Cape Cod; coordinating with suppliers on a daily basis; and communicating clearly, professionally, and empathetically while taking full ownership of your tasks.

Pay: $20.00 - $25.00 per hour
