Administrative Assistant

<Duties>

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with friendly professionalism
  • Operate multi-line phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
  • Perform data entry, maintain accurate filing systems, and manage document proofreading to ensure clarity and precision
  • Utilize Microsoft Office Suite and Google Workspace tools for document creation, scheduling, and communication management
  • Oversee calendar management for team members, scheduling appointments, meetings, and reminders with strong organizational skills
  • Handle office management tasks such as supply inventory, equipment maintenance, and general administrative support
  • Provide customer service support by assisting clients or visitors with inquiries and ensuring a positive experience

<Skills>

  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks for bookkeeping or basic financial record-keeping is a plus
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Strong typing skills combined with attention to detail for data entry and proofreading tasks
  • Bilingual abilities are highly desirable to support diverse client needs
  • Knowledge of front desk operations, multi-line phone systems, and phone etiquette standards
  • Experience as a dental or medical receptionist or personal assistant is advantageous for understanding specialized workflows
  • Customer service expertise with a friendly demeanor and professional communication style
  • Ability to handle confidential information discreetly while maintaining high levels of accuracy in all tasks
