We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.
- Maintain organized filing systems, data entry, and document proofreading to ensure accuracy and accessibility.
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and scheduling.
- Assist with calendar management, appointment setting, and coordinating meetings for staff members.
- Perform clerical duties such as copying, scanning, faxing, and maintaining office supplies inventory.
- Provide exceptional customer support via phone, email, or in person while maintaining a friendly and professional demeanor.
- Support bookkeeping activities using Odoo & QuickBooks
- Handle general office management tasks including organizing files, managing incoming correspondence, and supporting team members with personal assistant duties if required.
- Ensure efficient office operations by implementing organizational systems that enhance productivity.
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills.
- Familiarity with office management software such as Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks is highly desirable.
- Proven ability to handle multi-line phone systems with professionalism and courtesy.
- Bilingual skills are a plus to assist diverse client needs effectively.
- Experience in clerical tasks such as data entry, filing, proofreading, and calendar management.
- Knowledge of customer service principles combined with excellent phone etiquette.
- Personal assistant or medical/dental receptionist experience is beneficial but not required; a willingness to learn is essential.
