Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing correspondence, and ensuring smooth communication across departments. The ideal candidate will possess strong computer literacy, excellent organizational skills, and a professional demeanor to handle various clerical and customer service tasks efficiently. Experience with office management systems, Microsoft Office, Google Workspace is highly valued. Bilingual abilities are a plus to assist diverse client and staff interactions. Responsibilities

  • Participate in preparing responses to our Request for Proposal process used in our industry.
  • Perform data entry, electronic filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for report preparation, correspondence, and scheduling
  • Coordinate calendar management and appointment scheduling for staff and clients
  • Handle customer support inquiries via phone, email, or in person, providing exceptional service and support
  • Maintain office supplies inventory and place orders as needed to ensure smooth daily operations
  • Assist with bookkeeping tasks using QuickBooks or similar software
  • Support office management activities including document preparation, record keeping, and administrative projects.
  • Provide personal assistant support as needed for executives or team members

Experience

  • Prior office experience or clerical experience preferred; familiarity with administrative tasks such as filing, data entry, and calendar management is essential
  • Experience with QuickBooks, Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Calendar), is highly desirable
  • Bilingual proficiency is advantageous for effective communication with diverse clients and staff
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent typing skills combined with attention to detail for proofreading documents accurately, experience with AI is preferred.
  • Demonstrated customer service skills with professional phone etiquette is a plus.
  • Ability to manage multiple responsibilities efficiently while maintaining high levels of accuracy and professionalism

Pay: From $50,000.00 per year
