Administrative Assistant

Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring efficiency and professionalism in all administrative tasks. This role requires excellent communication skills, a proactive approach to problem-solving, and the ability to manage multiple priorities effectively.

Duties

  • Perform data entry and maintain accurate filing systems for documents and records. Handling A/R (invoicing), and A/P (matching & entering bills)
  • Provide administrative support by managing schedules, organizing meetings, draft proposals & estimates.
  • Serve as a personal assistant to executives or team members, handling various tasks as needed.
  • Provide exceptional customer service and ensuring a welcoming environment.
  • Answer phone calls with professionalism, demonstrating strong phone etiquette while addressing inquiries or directing calls appropriately.
  • Maintain office supplies inventory and place orders as necessary to ensure smooth operations.

Requirements

  • Proven experience in an administrative role or similar position is preferred.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills are essential for effective interaction with clients and team members.
  • Proficiency in office software applications (e.g., QuickBooks/Online) is encouraged. As well as Outlook, Teams, Word, Excel, etc.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive attitude towards problem-solving and the ability to work independently or as part of a team is essential.

Job Type: Full-time

Pay: $45,000.00 - $65,000.00 per year
