Administrative Assistant

Duties

  • Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry, maintain filing systems, and ensure accurate document management using Microsoft Office, Google Workspace, and other office software
  • Coordinate calendar management and meetings for team members and executives
  • Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence
  • Support basic office management duties like personal assistant tasks, or office organization initiatives
  • Provide excellent customer service by assisting clients or visitors with inquiries and offering support
  • Assist with preparing advisors for annual reviews by collecting needed documents from clients

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask efficiently in a busy collaborative environment
  • Demonstrated experience in office management, clerical work, or administrative support roles
  • Effective phone etiquette skills with experience operating multi-line phone systems
  • Bilingual abilities to communicate clearly with diverse clients and team members
  • Exceptional time management skills to prioritize tasks effectively and meet deadlines
  • Attention to detail for proofreading documents and maintaining accurate records
  • Previous experience as a receptionist—financial—considered a plus but not required
  • Personal assistant experience or office experience that showcases your ability to support leadership teams
