Administrative Assistant

Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office. This role requires excellent communication skills, strong time management abilities, and a proactive approach to problem-solving. The Administrative Assistant will be responsible for various administrative tasks that contribute to the overall efficiency of the organization. Must be able to multitask; be self-sufficient and work in a fast-paced environment, sensitivity to confidential matters is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage and maintain executives' schedules.
  • Prepare reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Planning and scheduling meetings and appointments.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Attend meetings to record minutes.
  • Compile, transcribe, and distribute minutes of meetings.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Make travel arrangements for executives and guest arrangements.
  • Prepare responses to correspondence containing routine inquiries.
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons and meetings.
  • Providing quality customer service.
  • Ability to translate verbally and in writing between English and Spanish
  • Good listening and communication skills
  • Expected to follow and understand instruction from executive management
  • Relate messages or instructions to others based on executive management
  • Must have people/interpersonal skills, and will be the first line of communication between clients, employees and executive management.
  • Must have excellent organizational skills
  • Computer skills: writing emails, transcribing notes, faxing, copying, document translations and creating spreadsheets or printing documents.

EDUCATION AND/OR EXPERIENCE

  • Associate or Bachelor’s degree or 5 years experience in an administrative roll
  • Valid insurable driver's license (to drive company vehicle).
  • Must be Bilingual/Fluent in Spanish

PHYSICAL DEMANDS:

While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
