Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
  • Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Provide customer support by addressing inquiries promptly and professionally via phone or email
  • Handle clerical duties such as proofreading documents, managing correspondence, and preparing reports
  • Support office management activities including supply inventory, equipment maintenance, and general administrative tasks

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping
  • Excellent computer literacy with the ability to adapt to new software quickly
  • Strong communication skills with the ability to demonstrate excellent phone etiquette; bilingual abilities are a plus
  • Experience managing multi-line phone systems and front desk responsibilities in a professional setting
  • Exceptional time management skills to prioritize tasks effectively in a busy environment
  • Attention to detail for proofreading documents, data entry accuracy, and filing systems
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
  • Knowledge of office management principles including calendar management and office organization techniques
