Administrative Assistant

Job Title: Administrative Assistant (Part-Time)
Location: On-site
Schedule: Monday – Friday, 8:00 AM – 1:00 PM
Remote Work: No

About the Role:
We are seeking an energetic, detail-oriented Administrative Assistant to support the day-to-day operations of our property management office. The ideal candidate will demonstrate strong customer service and problem-solving skills and have experience with HOA (Homeowners Association) property management. This role involves communication with residents, vendors, and internal teams to ensure smooth operations and timely resolution of issues.

Key Responsibilities:

Resident & Office Support

  • Greet residents in a professional, friendly manner
  • Answer and direct phone calls
  • Respond to general and personal office emails
  • Coordinate move-in/move-out reservations
  • Handle lounge reservation requests
  • Receive, log, and distribute mail and packages
  • Send out memos, notices, and community updates
  • Create and manage work orders
  • Order office and maintenance supplies (Amazon, Staples, etc.)

Water Leak Management

  • Email “Water Leak Information” to all units affected (including responsible unit)
  • Collect accurate information including pictures and documentation of damage and leak cause
  • Save all related documents in unit folders
  • Schedule moisture readings and coordinate with vendors for repairs and estimates
  • Coordinate painting repairs for HOA-related water leaks

Invoicing & Reporting

  • Process and track invoices weekly
  • Collect purchase orders from maintenance/custodial teams for invoice processing
  • Prepare monthly expenditure reports and variance reports

Additional Duties

  • Coordinate storage rentals and maintain related records
  • Prepare and process monthly bank deposits
  • Schedule painting projects (unit doors, balcony walls and railings, leak-related repairs)
  • Activate and deactivate fobs and clickers; maintain records in Excel
  • Assist in preparing Board Packets for HOA meetings
  • Assist with special projects assigned by the General Manager

Qualifications:

  • Strong customer service and interpersonal skills
  • Excellent written and verbal communication
  • High attention to detail and organizational skills
  • Ability to multitask and manage priorities effectively
  • Experience with HOA property management is highly preferred
  • Prior administrative experience in property management required
  • Proficient with Microsoft Office (Excel, Word, Outlook) and general office technology

Job Type: Part -Time
Hours: Monday – Friday | 8:00 AM – 1:00 PM
Work Location: On-site (this is not a remote position)
