Job Description
DFW CAD is seeking a reliable, organized, and detail-oriented Administrative Assistant to support our growing team. This full-time position is ideal for someone with a background in general contracting, construction, or a related industry who understands the fast-paced nature of project coordination, office administration, and communication in the construction field.
The Administrative Assistant will play a key role in helping keep daily operations organized and efficient by supporting management, coordinating documents, assisting with project paperwork, and maintaining communication between office staff, field personnel, subcontractors, suppliers, and clients.
Responsibilities
- Provide daily administrative support to management and project staff
- Answer phones, respond to emails, and route communications appropriately
- Prepare, organize, and maintain project files, contracts, submittals, invoices, and other documents
- Assist with scheduling meetings, appointments, deliveries, and project-related activities
- Support billing, invoicing, change order tracking, and general office paperwork
- Coordinate with subcontractors, vendors, suppliers, and clients as needed
- Assist with permit documents, lien waivers, insurance certificates, and other construction-related paperwork
- Maintain accurate records and help ensure deadlines are met
- Order office supplies and support day-to-day office operations
- Help management stay organized across multiple ongoing projects
Qualifications
- Previous experience as an administrative assistant, office coordinator, or similar role
- Background in general contracting, construction, roofing, or a related industry preferred
- Strong organizational skills and high attention to detail
- Ability to multitask and work efficiently in a fast-paced environment
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, email, and general computer systems
- Professional attitude and strong work ethic
- Ability to handle confidential and sensitive information appropriately
Preferred Qualifications
- Experience with construction documents, project files, contracts, or subcontractor coordination
- Familiarity with invoicing, billing support, and general office bookkeeping tasks
- Experience working in a contractor or project-based business environment
- Bilingual is a plus
