Job Overview
We are seeking a professional and highly organized Administrative Assistant to support our office operations and provide administrative support across multiple departments, with a focus on human resources and office management. This role serves as the primary point of contact for visitors, calls, and inquiries, ensuring smooth day-to-day office functions while maintaining confidentiality and attention to detail.
Key Responsibilities
- Front Desk & Office Support: Manage incoming calls, greet visitors, and oversee office organization.
- Special Projects: Handle confidential information, maintain digital and physical filing systems, and support company-wide initiatives.
- Office Inventory & Purchasing: Assist in maintaining office inventory, office restocking, and purchasing necessary office items.
- Administrative Assistance: Prepare reports, presentations, and internal communications.
- Human Resources Support: Assist with recruitment efforts, onboarding processes, and maintaining employee records.
- Vendor & Client Coordination: Support contract administration and service agreements.
- Event & Engagement Planning: Assist in organizing company events, recurring employee perks, and office initiatives.
- Financial & Recordkeeping Support: Process invoices, reconcile office expenses, and manage company subscriptions.
- Government Bid & Contract Research: Identify and research government bid and contract opportunities, ensuring alignment with company services and coordinating with internal teams for evaluation and potential submission.
Qualifications & Requirements
- Minimum (1) year of administrative experience and (2) years of customer service experience.
- Strong verbal and written communication and organizational skills.
- Proficiency in Mac platforms and G-Suite software.
- Ability to handle confidential information with discretion.
- Exceptional multi-tasking abilities in a fast-paced environment.
- Professional, reliable, and detail-oriented with strong problem-solving skills.
- Onsite presence required – this is not a remote position.
- Valid driver’s license required.
Preferred Qualifications
- Basic accounting knowledge.
- Associate’s degree in Marketing, Business, or a related field.
- Experience in marketing or similar creative service industries.
- Ability to speak one or more languages.
