Administrative Assistant – Overview

We are seeking a detail-oriented Administrative Assistant to support our team within a fast-paced construction environment. This role is responsible for organization, document preparation, and administrative coordination to support both office operations and ongoing construction projects. Experience in the construction or contracting industry is highly preferred.

Duties and Responsibilities

Typical responsibilities include, but are not limited to:

  • Document Management: Organize and maintain digital files, including project documents, reports, and internal records. Ensure all documentation is accurate and easily accessible.
  • Administrative Support: Assist in preparing, formatting, and finalizing correspondence, reports, proposals, and presentations.
  • Data Tracking & Reporting: Maintain logs and spreadsheets to track project timelines, submissions, and key deadlines.
  • Vendor & Subcontractor Coordination: Communicate with vendors, subcontractors, and internal staff to gather information, confirm details, and support project needs.
  • Scheduling & Coordination: Coordinate meetings, deadlines, and workflow priorities across teams, including project managers and field staff.
  • Compliance & Documentation: Assist with collecting and organizing required construction-related documentation such as insurance certificates (COIs), contracts, and compliance materials.
  • Project Support: Provide administrative assistance for active construction projects, including organizing files, preparing documentation, and ensuring all required materials are in place.
  • General Office Support: Perform additional administrative duties as needed to support daily operations.

Requirements

  • Bachelor’s degree preferred (Business Administration, Communications, Construction Management, or related field).
  • Minimum 2 years of experience in an administrative, office support, or coordination role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and PDF editing tools.
  • Strong organizational, writing, and proofreading skills.
  • High attention to detail with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work independently while collaborating with a team.

Preferred Qualifications

  • Prior experience in the construction, contracting, or related industry strongly preferred.
  • Familiarity with construction documents, bid processes, or project coordination workflows.
  • Experience with document management systems or shared digital platforms.
  • Basic understanding of project documentation, contracts, or estimating processes.

Pay: From $25.00 per hour
