Administrative Assistant

Overview:

Privately held real estate development and property management firm located in San Carlos is looking for a full-time administrative assistant.

Qualifications:

  • Must have worked with accounts receivables and understand accounting basics
  • Excellent customer service and interpersonal skills
  • Proficient in Microsoft Word and Excel
  • Knowledge of Sage software a plus
  • Enjoy taking the initiative and solving problems
  • Must be organized, detail orientated and able to multitask
  • Excellent written and verbal communications skills
  • Basic clerical knowledge such as record keeping and filing
  • Ability to work independently
  • Must like working with people and have a sense of humor!

Responsibilities:

  • Verify and input monthly accounts receivable data into accounting system
  • Track and follow-up on accounts receivable issues
  • Maintain lease and tenant database
  • Assist property managers with tenant relations
  • Coordinate vendors and/or contractors
  • Assist in drafting, organizing and inputting lease documents into database
  • Answer and direct phone calls
  • Provide general administrative support
  • Reply to email, telephone, or face to face inquiries
  • Receive, sort, and distribute mail
  • Maintain contact lists
  • Provide general support to visitors
  • Produce and distribute correspondence memos, letters, faxes, and forms
  • Maintain supplies inventory by checking stock to determine inventory level
  • Maintain filing system
  • Additional tasks as needed

Schedule: In-office.

Requirements: Must pass criminal background check, drug test and credit check.

Job Type: Full-time

Pay: $30.00 - $32.00 per hour
