Administrative Assistant

Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Perform data entry, maintain filing systems, and ensure all records are organized and accessible
  • Assist with calendar management, scheduling appointments, meetings, and reminders using Microsoft Office and Google Workspace tools
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide excellent customer support by addressing inquiries promptly via phone or email, ensuring a positive experience
  • Conduct proofreading of documents to maintain high-quality communication standards
  • Handle clerical tasks such as photocopying, scanning, and mailing correspondence as needed
  • Maintain office supplies inventory and coordinate with vendors for procurement when necessary
  • Support office management activities to improve operational efficiency and team collaboration

Experience

  • Prior office experience in administrative or clerical roles is highly preferred
  • Proven experience managing multi-line phone systems and front desk operations
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
  • Bilingual abilities are a plus to assist diverse clients and team members effectively
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Experience in customer service or customer support roles that require excellent communication skills and professionalism
  • Knowledge of bookkeeping software such as QuickBooks or similar platforms is advantageous
  • Previous experience as a medical or dental receptionist or personal assistant is beneficial but not required
  • Ability to handle sensitive information discreetly while maintaining accuracy in proofreading and data entry tasks

Pay: $17.00 - $22.00 per hour
