Position Overview
The Administrative Assistant plays a key role in ensuring the smooth operation of Kingdom Konnections by providing critical administrative and clerical support to the Executive Director and the organization. This role is responsible for office management, maintaining financial records, and handling day-to-day communications. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
Key Responsibilities
- Provide comprehensive administrative support to the Executive Director, ensuring efficiency in daily operations.
- Manage office functions, including maintaining records, organizing receipts, updating the cash log, and other essential bookkeeping tasks.
- Draft and edit professional correspondence, including letters, memos, invoices, and reports.
- Respond to phone calls, emails, and website inquiries professionally, ensuring timely communication and follow-up with clients and partners.
- Maintain and update organizational information in company software systems and databases.
- Order and manage office supplies, ensuring the workspace remains functional and well-stocked.
- Arrange travel and accommodations for the Executive Director and staff as needed.
- Coordinate and attend meetings on behalf of the Executive Director, taking thorough notes and recording meeting minutes for distribution.
- Handle incoming communications on behalf of the Executive Director, review contents for importance, and distribute or summarize information for appropriate staff.
- Assist in scheduling appointments and managing the Executive Director’s calendar.
- Perform additional related duties as assigned to support the organization’s operations.
Qualifications
- High school diploma or equivalent required; Associate’s degree in Business Administration or a related field preferred.
- A minimum of 2 years of directly related administrative experience.
- Exceptional written and verbal communication skills, with a professional demeanor.
- Strong organizational and time management skills, with a proven ability to meet deadlines.
- Familiarity with office administration procedures, bookkeeping, and recordkeeping systems.
- Proficiency in Google Workspace (Docs, Sheets, Slides, etc.) or equivalent software, with the ability to learn new systems quickly.
- Ability to manage sensitive information with discretion and maintain confidentiality.
Physical Requirements
- Prolonged periods of sitting and working on a computer.
- Ability to lift up to 20 lbs. when required.
