About the Role

The Admin Assistant for Acute Care operations plays a key role in shaping the experience of our physicians and advanced practice providers- from first interview through onboarding, orientation, and ongoing development.

This is a highly collaborative, detail-oriented role that sits at the center of operations, working closely with clinical leadership, HR, IT, and administrative teams. Your work will help create a seamless, organized experience for providers while building the structure needed to support continued growth.

· Primarily remote with occasional in-person responsibilities, northern CO

· Full-time position with typical work hours 8:30 – 5:00pm, Monday – Friday

Key Responsibilities are listed below. Additionally, other duties may be required from time to time including occasional local travel for work (with mileage reimbursement).

Recruitment & Interview Coordination

  • Coordinate all aspects of candidate interviews, including scheduling, travel, meals, and logistics
  • Prepare and distribute interview materials (CVs, agendas, interviewer packets)
  • Manage communication with candidates and interviewers before and after interviews
  • Organize interview dinners, tours, and overall candidate experience
  • Track interview feedback and support follow-up communication
  • Process candidate reimbursements and maintain documentation

Offer & Onboarding Coordination

  • Support offer letter distribution and contract execution
  • Initiate onboarding once contracts are finalized
  • Coordinate background checks, compliance, and HR requirements
  • Partner with IT to ensure timely system access and equipment setup
  • Prepare and maintain personnel files and onboarding documentation
  • Coordinate communication across departments to ensure readiness for start

Orientation & Training

  • Plan and execute provider orientation programs
  • Create and distribute orientation schedules and agendas
  • Coordinate training sessions across departments
  • Ensure all required training is completed prior to first shift
  • Create a welcoming, organized first-day experience

Ongoing Provider Support

  • Schedule and track provider check-ins (1, 3, 6 months and beyond)
  • Coordinate peer reviews and feedback collection
  • Maintain documentation of provider milestones and development
  • Support leadership in provider engagement and retention efforts

Performance Reviews & Feedback

  • Coordinate mid-year and annual review processes
  • Create and distribute surveys for peer, leadership, and self-feedback
  • Compile and organize review materials for leadership
  • Track completion and follow up as needed

Operational & Administrative Support

  • Build and maintain tracking systems for recruitment, onboarding, and provider lifecycle milestones
  • Maintain accurate documentation and support compliance efforts
  • Assist with internal communication, updates, and organizational tracking
  • Identify opportunities to improve workflows and create more structure across processes

Requirements & Qualifications

  • Must reside in the greater Northern Colorado area
  • Bachelor’s degree preferred (Healthcare Administration, Business, or related field)
  • 2–5+ years in healthcare administration, HR coordination, or operations
  • Strong proficiency in Microsoft Office applications. Excel required, with the ability to build tracking tools, organize data, and manage workflows.
  • Valid driver’s license required for occasional local work travel
  • An understanding of servant leadership, collaborative and relationship-driven
  • Proven ability to manage multiple priorities and timelines
  • High attention to detail and strong organizational skills
  • Strong written and verbal communication skills
  • Requires ability to manage tasks independently while staying connected to the team
  • Detail-oriented with strong follow-through
  • Comfortable building structure and improving processes
  • Strong sense of ownership and accountability

Pay: $20.00 - $21.00 per hour
