Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide essential support to office staff, ensuring they have the information and resources needed to perform at their best. Responsibilities include answering phone calls, scheduling appointments, planning meetings, managing correspondence, and maintaining organized records.
In addition, you will assist with billing and payroll functions, including preparing invoices, tracking payments, processing timesheets, and supporting payroll administration to ensure accuracy and timeliness.
The ideal candidate is highly organized, detail-oriented, and possesses strong written and verbal communication skills, along with a friendly and professional demeanor.

This will be a part time position to start out with. Can evolve into full-time as the company gets busier.


Responsibilities
  • Answer incoming phone calls and route them to the appropriate person
  • Schedule appointments and maintain calendars
  • Organize meetings and take accurate minutes
  • Write and distribute emails, memos, and letters
  • Contribute to the preparation of company reports
  • Maintain an organized filing and record-keeping system
  • Develop, update, and maintain office procedures
  • Assist with billing processes, including preparing invoices, tracking payments, and maintaining accurate financial records
  • Support payroll administration, including collecting and reviewing timesheets, ensuring accurate data entry, and coordinating payroll processing
Qualifications
  • High school diploma/GED required, Associate’s degree or administrative training is preferred
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
