Responsibilities
- Management duties, including greeting visitors and handling multi-line phone/ platform systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
- Coordinate calendar management and schedule appointments for team members or executives
- Support office management tasks such as supply ordering, creation of invoices / reports, organization of files, and maintaining office equipment
- Provide exceptional customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette and customer service skills
- Assist with bookkeeping tasks using QuickBooks to track expenses and invoices
- Handle clerical responsibilities including typing reports, managing Google Workspace documents, and ensuring timely follow-up on pending tasks
Skills
- Proven experience with office management, clerical duties, and administrative support in a professional setting
- Strong computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Bilingual abilities are highly desirable to assist diverse client needs
- Knowledge of administrative operations, multi-line phone systems, and phone etiquette to create a welcoming environment
- Knowledge or ability to learn platforms use such as airbnb, Expedia partner central, veto, bookings.com and more
- Familiarity with bookkeeping software such as QuickBooks for basic financial recordkeeping
- Exceptional proofreading skills to ensure accuracy in all written communication
- Strong customer service orientation with the ability to handle inquiries professionally and courteously
