Position Summary
The Administrative Assistant supports the ministries and operations of the church by providing organized, dependable, and ministry-focused administrative support. This role serves as a centralized support position that strengthens church communication, scheduling, volunteer coordination, ministry logistics, and day-to-day office operations.
This position coordinates resources and systems that help ministries function smoothly while ensuring worship services and church communications are accurate, organized, and welcoming.
We are seeking someone who desires to become a long-term and trusted part of the ministry team. While the current role is part-time, additional responsibilities and hours may be added in the future based on ministry growth, reliability, and the individual’s skills and strengths.
Essential Qualifications
- Welcoming and invitational, promoting a professional and friendly office environment
- Strong interpersonal communication skills and ability to interact effectively with a diverse range of people
- Self-motivated and able to prioritize, multi-task, and work independently
- Strong organizational, administrative, and writing skills
- Proficient in basic computer operations and office software, including Microsoft Office
- Comfortable using email, databases, scheduling systems, and social media tools
- Trustworthy with confidential and financial information
- Adaptable, teachable, and willing to support a variety of ministry needs
- A heart for serving people and supporting the mission of the church
Duties and Responsibilities
Church Communication & Office Administration
- Maintain, update, and publish church documents including membership directories, calendars, databases, and contact lists
- Prepare, edit, print, and distribute church communications including weekly updates, bulletins, announcements, mailings, and ministry materials
- Send church-wide communications and ministry reminders
- Respond to correspondence from visitors, members, and attendees
- Check and distribute mail
Ministry & Volunteer Support
- Support youth and kids ministry preparation and logistics
- Prepare sermon notes, handouts, children’s materials, and other ministry resources
- Coordinate volunteer scheduling and reminders
- Assist with onboarding processes including forms and background checks
- Coordinate facility scheduling and ministry calendars
- Order and maintain office, kitchen, and ministry supplies
Financial & Operational Support
- Assist with payroll coordination and submission
- Pay vendors and maintain organized administrative records
- Help reconcile accounts and maintain ministry budget records
- Coordinate 403(b) contribution submissions and related administrative processes
Additional Information
- Position currently anticipated at approximately 20 hours per week
- Hours and responsibilities may expand in the future as ministry needs grow and depending on the employee’s skill set and strengths
- Position may eventually include additional ministry leadership or operational responsibilities if mutually desired and appropriate
