Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to become an ACCOUNT MANAGER. You will support daily office operations, streamline administrative processes, and enhance overall office efficiency, being able to do so, with flexible hours, ON YOUR OWN TIME!!

The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive attitude to ensure a smooth and productive work environment. If you thrive in fast-paced settings and enjoy multitasking, this position is perfect for you! Grow with the company! Candidate will start off working 5-10 hours a week, then advance to 20, with the option to be full-time in the future.

Responsibilities

*Return all phone calls and inquiries made to company phone number/ voicemail service.
*Schedule estimates and pricing with contractors and potential clients.
*Learn script and answers to potential questions from contractors and clients.
*(In person) meet with contractors and clients to discuss estimates. Will provide Gas compensation for miles traveled.
*Take photos of potential area to be serviced. Send it to company for records and future estimates.
*Issue literature/ receive information from contractors through onboarding process.
*Be able to stay in continuous contact with contractors and clients, by use of a phone number (google voice?).

Qualifications

  • Proven experience in an administrative or clerical role within an office environment
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly desirable to communicate with diverse clients and team members
  • Experience with multi-line phone systems, calendar management, and phone etiquette is essential
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Previous experience as a receptionist (medical or dental) or personal assistant is advantageous
  • Demonstrated ability to proofread documents accurately and manage time efficiently
