Teleqo Technical Solutions is a Northern Virginia-based geospatial services company specializing in mobile LiDAR and panoramic imagery data collection across the United States and Latin America. Founded in 2020, Teleqo serves state departments of transportation, telecommunications providers, and utilities clients, and is the parent organization of New Compass Solutions — a growing SaaS spinoff developing cloud-based geospatial software platforms. Position Summary
We are seeking a highly organized, proactive, and detail-oriented Technical Administrative Specialist to provide executive-level administrative support to both the CEO and CTO. This role is the connective tissue of our operations — ensuring that leadership can focus on strategic priorities while day-to-day administrative, compliance, and vendor coordination tasks are handled with precision and professionalism.
The ideal candidate is comfortable working across multiple functional areas — from interfacing with external HR, insurance, and accounting partners to managing receipts and expense records, coordinating calendars, and supporting internal communications. This person must be adaptable and capable of managing competing priorities in a fast-moving startup environment.
Key ResponsibilitiesExecutive Support
- Manage and maintain calendars for the CEO and CTO, including scheduling internal meetings, external calls, and travel logistics
- Prepare agendas, take meeting notes, and track action items for executive meetings
- Draft, proofread, and route correspondence on behalf of the CEO and CTO
- Coordinate travel arrangements including flights, hotels, and ground transportation
- Handle sensitive and confidential information with discretion
External Vendor & Partner Liaison
- Serve as the primary point of contact for external HR, payroll, benefits, and insurance providers
- Coordinate with the company's external accounting firm on monthly close, invoice submissions, and document requests
- Liaise with legal counsel and compliance vendors as directed by the CEO
- Track open items and follow-ups across all external service providers, escalating to the CEO when needed
Finance & Expense Administration
- Collect, organize, and catalog receipts and expense documentation from the CEO, CTO, and other staff
- Maintain structured records for credit card statements, reimbursements, and project-coded expenses
- Prepare and submit expense reports in coordination with the accounting team
- Assist in tracking vendor invoices, purchase orders, and payment status
HR & Onboarding Coordination
- Support new hire onboarding logistics including paperwork, system access requests, and equipment coordination
- Maintain employee records and coordinate benefits enrollment with external HR providers
- Assist with tracking PTO, contractor agreements, and personnel document compliance
General Operations
- Maintain organized digital filing systems for contracts, vendor agreements, compliance documents, and corporate records
- Support internal project tracking and cross-team coordination as needed
- Assist with preparation of presentations, reports, and briefing materials
- Manage office supply ordering and other administrative logistics
Required Qualifications
- 2+ years of experience in an administrative, executive assistant, or operations support role
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams) and Google Workspace
- Demonstrated experience managing sensitive or confidential information
- Ability to work independently and manage multiple competing priorities
- Reliable, self-motivated, and comfortable in a small-team, startup environment
Preferred Qualifications
- Experience supporting engineering, technology, or field services organizations
- Familiarity with accounting or expense software (e.g., QuickBooks, Expensify, Bill.com)
- Experience coordinating with external HR or PEO providers
- Background in government contracting environments (FAR/DFARS familiarity a plus)
- Associates or Bachelor's degree in Business Administration, Communications, or a related field
Work Environment & Schedule
This is a hybrid position based in Northern Virginia. Regular in-office presence will be required Monday-Thursday, with remote flexibility on Fridays. Standard business hours apply; some flexibility may be needed to accommodate executive schedules. Occasional travel to project sites or client meetings may be requested.
