WHKS has an excellent opportunity for a part-time Administrative Assistant to join a supportive and team-focused workplace where individuals are encouraged to utilize and develop their strengths. This position offers the opportunity to collaborate with industry professionals on meaningful infrastructure projects while contributing to a stable and growing Midwest firm.Reporting to the Office Manager, the role provides a flexible part-time schedule, typically working 20–24 hours per week.
Hourly Range:
Responsibilities include:
- Providing administrative support to the Office Manager and other staff Managing tasks that contribute to daily operations – i.e. directing phone calls, filing and scanning, ordering and maintaining office supplies, shipping and vendor coordination, and other miscellaneous items including errands, etc.
- Maintaining organized filing systems (electronic and physical)
- Assisting with special projects and other administrative duties as assigned including coordinating with other WHKS offices
- Preparing, proofreading and assembling professional documents (correspondence,reports, specifications and other engineering documents)
- Supporting inter-office coordination and communication
- Scheduling and coordinating meetings
- Assisting with preparation of presentations
Qualifications:
- Associate’s or Bachelor’s degree in administration, business management, communication, marketing, or a related field preferred. In the absence of a degree, a minimum of 5 years of relevant administrative experience is required.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Proficiency in Adobe Acrobat Professional preferred
- Exceptional attention to detail and with both proofreading and editing ability
- Highly organized with the ability to manage multiple priorities and deadlines
- Self-motivated with the ability to work with limited supervision
- Ability to handle information professionally and discreetly
- Strong written and verbal communication skills
- Customer-service mindset with a positive, team-oriented approach
- Valid driver’s license required
