Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle comprehensive office management tasks such as filing, data entry, and maintaining organized records
- Support calendar management and scheduling for team members, including appointment setting and reminders
- Utilize computer skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation, editing, and collaboration
- Perform clerical tasks such as proofreading documents, managing correspondence, and supporting bookkeeping activities using QuickBooks or similar accounting software
- Assist with customer service by providing support via phone or email, addressing inquiries promptly and professionally
- Coordinate office supplies inventory and ensure the office environment remains efficient and welcoming
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel), Google Workspace, and basic computer literacy
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities (English/Spanish or other languages) are highly preferred to support diverse client needs
- Strong typing skills with an emphasis on accuracy and speed; familiarity with proofreading is a plus
- Previous clerical or administrative experience in a professional setting is required
- Knowledge of office management procedures, data entry, filing systems, and customer support practices
- Ability to handle multiple tasks efficiently while demonstrating excellent time management skills
- Experience in medical or dental receptionist roles or personal assistant positions is advantageous but not mandatory
