We are seeking a detail-oriented and proactive Administrative Assistant to join our team Full-Time. Duties

  • Type Proposals, make revisions, and proofread correspondence to clients.
  • Operate multi-line phone systems, demonstrating excellent phone etiquette.
  • Perform data entry tasks with accuracy and attention to detail.
  • Update and Maintain logs and spreadsheets.
  • Maintain organized filing systems for easy retrieval of documents.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
  • Proofread documents for accuracy and clarity before distribution.
  • Support bookkeeping tasks as needed, including invoicing and expense tracking and filing.
  • Collaborate with team members to improve office processes and enhance efficiency.

Requirements

  • Proven experience in an administrative role or similar position.
  • Proficient in QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent typing skills with a high degree of accuracy.
  • Bilingual abilities are a plus for effective communication with diverse clientele.
  • Familiarity with front desk operations and multi-line phone systems is preferred.
  • Strong clerical experience with an emphasis on customer service excellence.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Demonstrated time management skills to prioritize tasks effectively.
