Administrative Assistant

Job Summary

It is guaranteed for 3 months with the possibility of long term but will always be a contractor position and therefore offers no benefits. We set the pay to align with not offering a benefits package. It is based in Yelm and some in person days in Yelm will be required especially during the onboarding period. We are a small firm (just two of us) that has grown past our ability to keep up with the amount of work. The ideal person would fit into our little group, add ideas and input and want to grow with us. This could be a great opportunity for a someone with little accounting experience to learn under someone who has 20 + years in the industry. We treat people like adults and will not micromanage you. You can work whenever it feels right for you to as long as you meet deadlines. Due to the flexible nature of the work some weeks we might only have 10 hours of work for you and others we might have close to 40. It depends on the projects we have going on. In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities

  • Manage operational flow, including greeting visitors, answering phones, and directing calls with professional phone etiquette
  • Handle scheduling tasks such as calendar management and appointment setting using Google Workspace and Microsoft Office tools for team members
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality correspondence
  • Support office management activities by coordinating supplies, organizing files, and overseeing general administrative tasks
  • Assist with bookkeeping responsibilities using QuickBooks or similar accounting software for invoicing and expense tracking
  • Provide customer support through effective communication, addressing inquiries promptly and professionally in person or via phone/email
  • Support personal assistant functions such as travel arrangements, task prioritization, and time management for team members when needed

Qualifications

  • Proven office experience with strong clerical skills in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
  • Strong typing skills coupled with attention to detail for proofreading and data entry tasks
  • Experience with project management , office management software, and basic bookkeeping (QuickBooks preferred)
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Previous experience in customer service or as a receptionist (medical or dental reception experience is advantageous)
  • Demonstrated professionalism with excellent phone etiquette and interpersonal skills

Pay: $21.00 - $24.00 per hour
