Administrative Assistant

Job description:

Smoker & Associates is seeking a professional, organized and proactive Administrative Professional. The ideal candidate is a highly adaptable individual with a strong service orientation, and a willingness to take on diverse tasks. You will take charge of many different office support and administrative duties in this position. Responsibilities:

  • Facilitate and support the firm’s tax return process; including the organization and management of client document packages, maintaining control log, utilization of scan software, coordination of workflow tracking, and compiling file for tax preparer.
  • Assembly of the tax return for delivery to client; including paper/electronic delivery, collection of signatures and payment of services.
  • Data entry for payroll processing, and assembly of checks and reports.
  • Coordinate, monitor and resolve E-File authorizations.
  • Maintains confidential and sensitive information and materials in a professional and private manner.
  • Assist with weekly and long-range tax scheduling and agenda tracking.
  • Assist with correspondence to taxing authorities and resolution of tax notices.
  • Prepare extension transmittal letters and power of attorney forms.
  • Assist with proposals and special projects.
  • Assist in billing and invoice preparation
  • Identify priorities and escalate to staff members.
  • Assist with other administrative matters as required; maintain tracking system and due date lists, office supply inventory, engagement letters, meeting minutes, general correspondence, billing, mailings, conference call set-up.

Qualifications:

  • Comprehensive knowledge of Microsoft Office, Outlook and Adobe programs
  • Previous administrative assistance experience, preferably assisting senior level managers or executives
  • Exceptional customer service skills
  • Excellent verbal and written communication skills
  • Strong attention to detail, and a commitment to quality
  • Proven ability to take initiative and responsibility for completing work
  • Able to perceive and analyze problems, develop alternatives, and implement resolutions
  • Excellent computer skills and knowledge of office equipment including telephones, scanners, copiers/printers
  • Ability to multi-task
  • Professional in manner and appearance
  • General knowledge of tax returns is helpful but not required

Job Type: Full-time

Schedule:

  • Monday to Saturday (February through April 15th deadline) These hours will be a minimum of Monday through Friday 8-5 and Saturdays 8-12.
  • Monday to Friday 8-4 (May through January) Closed Fridays June, July and August

Education:

  • Bachelor’s Degree preferred

Experience:

  • Administrative: 3 years (Preferred)

Pay: From $20.00 per hour

Work Location: In person
