We are seeking an enthusiastic part-time Administrative Assistant/Receptionist—someone who is service-minded and ready to support an exceptional patient experience. In this vital role, you will manage front desk operations, coordinate patient appointments, handle clerical tasks, and support the overall office management to ensure a positive experience for both patients and staff. Your energetic approach and excellent organizational skills will help create a welcoming environment where everyone feels cared for and valued. Responsibilities of our Administrative Assistant/Receptionist include:

  • Provide 5-star, service-minded care to all patients

Receptionist responsibilities (working front desk primarily on Tuesdays)-

  • Greet patients warmly upon arrival, ensuring a positive first impression and smooth check-in process
  • Manage multi-line phone systems with professionalism, providing exceptional customer support and answering inquiries promptly
  • Demonstrate strong phone etiquette while managing incoming calls on multi-line systems and providing courteous assistance
  • Schedule, confirm, and reschedule patient appointments using Archy
  • Maintain accurate patient records through data entry, filing, and updating electronic health records with high attention to detail
  • Assist with office management duties such as supply inventory, filing systems, proofreading documents, and organizing files
  • Support the team with clerical duties including typing correspondence, proofreading materials, and managing office communications
  • Coordinate with dental staff to ensure smooth daily operations and uphold excellent customer service standards

Admin Assistant duties-

  • Complete tasks assigned to you by owner doc (examples: do patient follow-up/scheduling calls, clean up insurance info for patients in Archy)
  • Complete tasks assigned to you by practice manager, who sometimes works remotely (examples: check in w/ team members, manage different business-related systems, help organize team outings, etc.)
  • Assist with office management duties such as supply inventory, filing systems, proofreading documents, and organizing files
  • Support the team with clerical duties including typing correspondence, proofreading materials, and managing office communications
  • Coordinate with dental staff to ensure smooth daily operations and uphold excellent customer service standards
  • Use computer skills across Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations

  • Attention to detail for proofreading documents, managing files, and maintaining accurate records
  • Ability to work independently while supporting team collaboration; excellent time management skills are essential

  • Monday and Tuesday are mandatory days | 7:45am-5:30pm
