Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! The Administrative Assistant will provide essential support to the president. This valuable support will allow the President to focus on higher-level responsibilities.
Key Responsibilities
- Assist with the president’s schedule, appointments, and calendar.
- Organize meetings and/or phone calls
- Prepare agendas, take notes
- Handle correspondence via phone, email, and mail
- Prepare reports, presentations, and essential documents
- Maintain filing systems, records, and office supplies
- Assist with travel arrangements, expense reporting Greet visitors
- Occasionally manage specialized tasks such as event planning
Qualifications/Required Experience
- Experience demonstrating assertiveness to protect manager’s time, space, and calendar.
- Decision-making skills to work autonomously and manage specific tasks
- Communication and collaboration skills to support personnel, management and clients
- Organizational skills to maintain order
- Writing skills to ensure emails, letters, and documents uphold the company identity
- Proficiency in office software (Microsoft Office 365, Google)
- Calendar and schedule management skills
- Knowledge of office procedures and equipment
- Familiarity with customer service principles
- Ability to handle confidential information responsibly=
Preferred Experience
- 10-15 years of experience in an Administrative Assistant role in the construction industry
Skills & Competencies
- Strong oral and written communication skills
- Excellent organizational and multitasking abilities to prioritize tasks in fast-paced environments
- Attention to detail and ability to handle confidential information
- Professionalism, reliability, and a proactive attitude
- Comfort with technology: Microsoft 365, and standard business applications.
Education
- High School Diploma or equivalent
Work Arrangement & Compensation
- Primarily onsite at the Oklahoma City office, with periodic visits to active jobsites and to Automation Integrated, LLC locations as needed.
- Standard business hours with availability to respond to business matters outside of standard hours.
- Compensation commensurate with experience.
- Eligible for benefits in accordance with company policy for full-time exempt employees.
