ROLE OVERVIEW
The Administrative Assistant provides essential clerical and administrative support to ensure the efficient daily operations of the Tropical Medicine Clinic. This role involves coordinating patient appointments, handling communications, managing medical records, and maintaining accurate documentation within the Meditech and Global Rescue systems. The Administrative Assistant serves as the primary liaison for patients and staff, supporting clinical workflows and upholding the clinic’s mission of excellence in patient-centered care.
RESPONSIBILITIES
- Answers and routes incoming phone calls, greets patients, and handles inquiries with professionalism and accuracy.
- Coordinates referrals, follow-up appointments, and communication between departments and external providers.
- Manages and maintains complete and up-to-date patient medical records in both EMR and Global Rescue systems.
- Assists with organizing and formatting administrative and quality metric data provided by leadership, including the creation of charts, graphs, and reports using Microsoft Excel or other designated platforms as appropriate.
- Maintains continuous communication with the assigned scheduling lead regarding available appointments, cancellations, and rescheduling needs.
- Ensures that medical records are accessed only by authorized personnel, maintaining strict compliance with HIPAA and institutional confidentiality standards.
- Files laboratory and specialized study results promptly; if unavailable, coordinates to obtain them within 24 hours.
- Assists in scheduling appointments and coordinating services with other providers or subspecialists, both within and outside specialty clinics.
- Maintains adequate inventory of office supplies and forms; promotes responsible and cost-effective use of materials.
- Supports the Clinical & Administrative Lead with clerical tasks, documentation, and staff communications.
- Participates in continuous service improvement initiatives and remains informed of new updates in administrative systems and clinical processes.
- Performs additional administrative duties as assigned by the Clinical & Administrative Lead.
QUALIFICATIONS
- Minimum of one year of clerical or administrative experience, preferably in a healthcare or clinical setting.
- Proficiency in Meditech EMR, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and ability to create charts and data reports.
- Fully bilingual (English and Spanish) – oral and written communication skills are essential.
- Strong organizational, multitasking, and time-management skills.
- Excellent communication and interpersonal abilities to interact with patients, staff, and multidisciplinary teams.
- Ability to maintain confidentiality and comply with HIPAA regulations.
- Flexibility to adjust work hours as needed, though the standard schedule is onsite Monday to Friday, 8:00 a.m. – 5:00 p.m.
